Position Title: Order Coordinator


Job Purpose:

To ensure smooth execution of customer orders from receipt of LOI/PO till order completion by coordinating with internal stakeholders and customers. The role involves order review, SAP order processing, documentation coordination, delivery tracking, and ensuring timely communication across functions to achieve operational excellence and customer satisfaction.


Key Responsibilities:

  • Review LOI/PO received from respective regions and ensure completeness of order-related documents.
  • Understand and analyze supporting documents received along with LOI/PO such as PWS, PDS, specification sheets, drawings, and other technical documents.
  • Create Finished Goods (FG) codes based on document review and defined code creation guidelines.
  • Create Work Orders (WO) / Sales Orders (SO) in SAP as per defined SOPs, ensuring accuracy of mandatory parameters and maintaining data hygiene.
  • Coordinate on a day-to-day basis with key stakeholders including Region, Design Team, Procurement, Production Planning, Production, and Clients as per business requirements.
  • Facilitate coordination between Design, Quality Control, Region, and Clients for timely approval of required documents after WO release.
  • Coordinate with Proposal/Estimation teams whenever required to ensure timely WO creation, revision, and release.
  • Share Order Acceptance with customers/regions within defined timelines after receipt of LOI/PO.
  • Work closely with Sales Coordinators to support and manage fast-track requirements from regions.
  • Track drawing approvals and coordinate with regions for CDD revisions wherever applicable, including maintaining CDD revision tracking records.
  • Conduct weekly On-Time Delivery (OTD) reviews along with the Production Planning team.
  • Prepare and finalize monthly OTD matrices and share reports with Senior Leadership Team within defined timelines.
  • Prepare and maintain daily PMG Matrix data.
  • Share daily WO creation status along with challenges/issues with the Site Head for timely resolution.
  • Maintain PO/Order tracking sheets and monitor order progress as per PO terms and conditions.
  • Follow up with respective stakeholders for document release, PI release for payment, invoice preparation coordination, order hold/cancellation, revisions, and other order-related activities.
  • Ensure timely coordination and communication to support smooth order execution and customer satisfaction.

  • Strong coordination and stakeholder management skills.

  • Proficiency in SAP (Sales Order / Work Order processing).
  • Ability to manage multiple priorities and ensure timely execution.

Qualification & Experience:

  • B.E/B.Tech Mechanical with 3+ Years Experience in similar role
  • Relevant experience in Order Management, Project Coordination, Sales Operations, or Manufacturing Coordination.
  • Experience in SAP and manufacturing environment will be preferred.

Role Purpose

The Head of PMG is responsible for leading the Project Management Group to ensure seamless customer communication, end-to-end project coordination, and centralized production planning across all manufacturing units of HLE Glascoat Limited. This role ensures that all customer orders are executed on time, production is optimally planned, and all internal stakeholders are aligned to delivery commitments. The position plays a crucial role in driving customer satisfaction, operational efficiency, and schedule adherence.


Key Responsibilities

1. Leadership & Strategy

  • Lead and develop the PMG team, ensuring strong project coordination and planning capabilities.
  • Build PMG as a strategic function that integrates customer communication, project execution control, and centralized planning.
  • Drive continuous improvement in planning tools, reporting formats, and communication protocols.
  • Establish PMG dashboards, governance systems, and SOPs for project and production planning.


2. Client Interaction & Project Governance

  • Act as the senior escalation point for customer communication related to ongoing projects.
  • Ensure the PMG team provides timely, accurate, and professional updates to customers.
  • Review project milestones, critical paths, risks, and mitigation plans.
  • Ensure all customer requirements, priorities, and approvals are captured and cascaded to the relevant functions.
  • Conduct periodic customer review meetings (virtual or on-site) to ensure alignment and satisfaction.


3. Centralized Production Planning

  • Own the Master Production Plan (MPP) for manufacturing unit and product lines.
  • Consolidate the order book, engineering readiness, material availability, capacity constraints, and priority orders into a cohesive production plan.
  • Ensure optimal load balancing, capacity utilization, and resource planning across facilities.
  • Drive weekly and monthly production planning reviews with Production, SCM, Engineering, and Quality.
  • Monitor real-time progress versus plan and implement corrective actions immediately.
  • Guide planning improvements using analytics, ERP/MRP data, and capacity modelling.


4. Cross-Functional Coordination

  • Ensure smooth alignment between Engineering, Production, Supply Chain, Quality, Dispatch, and Service teams for order execution.
  • Drive on-time completion of engineering deliverables, material readiness, and stage-wise production outputs.
  • Escalate and resolve bottlenecks related to design, supply chain, manpower, quality, or external vendors.


5. Performance Tracking & Reporting

  • Define KPIs and dashboards for project progress, production adherence, pending approvals, and customer updates.
  • Review variance reports and ensure root-cause analysis for delays.
  • Provide management with periodic updates on delivery schedules, high-risk orders, and customer commitments.
  • Promote data accuracy and transparency across PMG and production systems.

Qualifications & Experience

  • Bachelor’s degree in Mechanical / Production Engineering; MBA preferred
  • 18–23 years of experience in project management, production planning, or operations in heavy engineering / process equipment / manufacturing
  • Strong exposure to customer-facing project coordination and planning functions
  • Experience with ERP/MRP systems, project management tools, and capacity planning
