Role Overview
The Executive Assistant (EA) to the CMD will serve as the key point of coordination and support, managing executive schedules, communication, and strategic administrative tasks. The EA ensures that the CMD’s office runs smoothly, efficiently, and with a high level of confidentiality and professionalism.
Key Responsibilities
- Manage and maintain the CMD’s calendar, appointments, travel, and meeting schedules.
- Prepare reports, presentations, and correspondence on behalf of the CMD.
- Act as a liaison between the CMD and internal/external stakeholders.
- Handle confidential documents and sensitive information with discretion.
- Coordinate board meetings, prepare meeting minutes, and track action items.
- Oversee project follow-ups and ensure timely completion of CMD directives.
- Support in drafting communications, speeches, and strategic briefs.
- Manage logistics for travel, events, and conferences involving the CMD.
- Conduct research and compile data to support decision-making.
- Represent the CMD professionally in interactions with partners, clients, and team members.
- Drive the adoption of AI and automation tools within the CMD's office to streamline administrative processes, improve productivity, automate routine tasks, and enhance the quality and speed of executive support.
Qualifications and Skills
- Bachelor’s in Engineering
- 5+ years of experience as an Executive Assistant or similar role, preferably supporting senior leadership in logistics, aviation, or related industries.
- Excellent communication and organizational skills.
- Strong attention to detail, time management, and multitasking ability.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work under pressure and maintain confidentiality.
- Professional demeanour, discretion, and a proactive mindset
Preferred Attributes
- Experience in logistics or aviation industry.
- Familiarity with ERP or logistics management systems
- Excellent interpersonal and problem-solving skills.
