Position Title: Executive Assistant

Position Reporting to: Vice President - Global Business Services/ Finance Director

Location: Goregaon East


Job Purpose: We are seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support at our Capability Center. The successful candidate will play a crucial role in ensuring the smooth functioning of the Finance Director's office and supporting the achievement of strategic objectives.


Managerial and Functional Responsibilities:

  • Manage the Finance Director's calendar, scheduling appointments, meetings, and travel arrangements efficiently.
  • Act as the primary point of contact for internal and external stakeholders, screening and directing inquiries appropriately.
  • Prepare and edit correspondence, presentations, reports, and other documents on behalf of the Finance Director.
  • Coordinate and facilitate communication between the Finance Director and various departments within the organization.
  • Assist in the preparation and organization of meetings, including agenda creation, document distribution, and minute-taking.
  • Conduct research and gather data to support the Finance Director in decision-making and project execution.
  • Manage and prioritize multiple tasks simultaneously, proactively identifying and resolving conflicts or issues as they arise.
  • Maintain confidentiality and discretion when handling sensitive information and matters.
  • Assist with ad-hoc projects and tasks as assigned by the Finance Director.


Job Requirement:

Experience: Proven experience (7+ years) working as an executive assistant or similar role, supporting senior management in a corporate environment.

Functional Competencies:

  • Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • High level of discretion and integrity when handling confidential information.
  • Ability to work independently with minimal supervision, while also functioning effectively as part of a team.
  • Flexibility to adapt to changing priorities and responsibilities as needed.
  • Previous experience in the Global Capability Center in finance or Shared Services industry is a plus.
