SUMMARY OF POSITION:
Executive – HR is accountable and responsible for handling HR related administrative work for Taloja Manufacturing site, Commercial Team in Vikhroli Office Mumbai such as Recruitment & Onboarding, Time office Mgmt for payroll, Leave Management, Training & Development, Preparation of policy and Procedures, Employee Exit etc.
The goal will be to provide excellent assistance and support to employees and managers.
ESSENTIAL FUNCTIONS:
• Support the development and implementation of HR initiatives and systems in India such as (Time office management for payrolling, Leave Management of the employees, Training System etc.)
• Helping the HR Manager in preparing various local Policies and Procedures and counseling on those policies and procedures to the employees.
• Be actively involved in recruitment process.
a) Coordinating with the hiring Managers for the creation of Job Requisition in Workday
b) Coordinating with the headhunters for sourcing the Profiles.
c) Sourcing the candidates from Social websites such as LinkedIn.
d) Scheduling the interviews with Hiring Managers/HR Head/Site Head.
e) Collecting the documents from the shortlisted candidates.
f) Taking the approval of the compensation from the HR Manager.
g) Hiring the Candidates in workday.
h) Issuance of the Offer letter to the candidates
• Create and implement effective onboarding plans for the new joinees.
a) Keep a track of the date of joining of the candidates.
b) Coordinate with the new joinees for the Salary Bank account opening/collecting the Payroll related information such as TAX declaration form, Identity Card related information, GMC & GPA related information.
c) Prepare a check list of the activities for the onboarding of the candidates such as (Welcome, Organization Announcement, Documentation Completion, Scheduling Induction with the local leaders etc.)
d) Preparation and Handing over the Welcome Kit to the new joinees.
e) Coordinate with the Admin In-charge for Admin support such as (Information related to Transportation, Handing over of the IT Assets, Information related to Canteen, Uniform Measurements etc.)
f) Preparation of the employee ID Cards.
g) Preparing and issuing the Appointment letter to the new joinee on the Date of Joining.
h) Handing over of the new joinees to the respective department after completion of the Joining formalities.
• Develop training and development programs.
a) Help the HR Manager in Preparation of Training Standard Operating Procedures for Taloja site.
b) Assisting the HR Manager in providing the training related URS to the IT team for building an internal Training Management Software.
c) Coordinating with the Hiring Managers for Training Need Identification of their respective departments.
d) Preparation of the Annual training Calendar with the help of TNI’s.
e) Coordinating in conducting the trainings as per the training calendar.
f) Maintaining and storing the training records of the employees for Audit Purpose.
g) Tracking the Training Manhours of each employee as per the Annual Target.
h) Facing the regulatory Audits as and when required for Training activities.
• Support the management of disciplinary and grievance issues.
• Maintaining and Storing employee records/MIS such as
a) Preparation of Monthly Attendance records for Payroll and Tracking of Absenteeism.
b) Preparing and storing Personal Files of the employees
c) Storing and Maintaining HR Vendors agreements (POSH, Headhunters Agreements, Technical Manpower Provider Agency etc.) and keeping a track of renewal of the same.
d) Preparation of Monthly Training MIS
e) Preparation of Monthly Overtime MIS
f) Preparation of Monthly Leave MIS for Payroll and Annual Leave Calculation
g) Preparation of Monthly Attrition MIS
h) Preparation of Monthly DE&I related MIS for India.
i) Preparation of Monthly Recruitment MIS.
j) Preparation of Monthly probation to Confirmation records and coordinating with the hiring Managers for the assessment of the employees for confirmation.
k) Preparation and issuance of the Confirmation / Extension of Probation letters to the employees.
l) Preparation of Monthly Headcount MIS for Taloja site. (Elementis, Contractual Manpower, Technical Staff)
m) Preparation of HR activities Monthly Dashboard for the review of HR Manager
n) Maintaining the Workday Data Integrity all the time.
• Payroll Input
a) Preparation of the monthly attendance for the Payroll and get it approved by HR Manager.
i) Checking of Leaves
ii) New joinee data
iii) Canteen Deduction and other deductions such as LOP salary advance etc.
b) Sharing the Payroll attendance input with the Payroll partners
c) Checking the payroll input provided by the Payroll partners and submitting to the HR Manager for approval.
• Exit Management
a) Scheduling the Exit Interview of each employee.
b) Preparation of the Report of Exit of the employees for HR Manager’s review and analysis. (Red Amber & Green (RAG) Analysis)
c) Providing the input of Full and Final calculation to the payroll partners and Checking the Full and Final Calculation received from them and take the approval of HR Manager for the Payout.
• Coordinating with the Admin In-Charge for conducting Local Employee Engagement Activities such as
a) Festival Celebrations
b) Birthday/Anniversaries Celebrations
c) Outbound Trainings for the employees
d) Annual celebrations such as Annual Sports week for the employees, Annual Day.
MINIMUM REQUIREMENTS:
Education: MBA/BBA in HR / MSW with HR Specialization
Experience: 3 - 4 Years in HR Operation (Mfg. & Sales)
Preferred Skill: • Hands on experience in Recruitment (Mfg. & Sales)
• Hands on experience in handling training operation
• Hands on Experience in handling Employee lifecycle.
• Workday operational knowledge
• Experience of Payroll preparation
