Position Overview: Head of Administration
The Head of Administration will be responsible for the smooth and efficient functioning of all non-academic operations across both CIS campuses. This role demands a proactive leader who can ensure the school's infrastructure, services, and administrative systems support our academic mission and vision. The ideal candidate will demonstrate strong leadership, attention to detail, and a deep understanding of school operations and statutory requirements.
Parent Engagement & Communication
- Act as a key administrative liaison for parent communication and involvement in operational matters.
- Coordinate parent participation in relevant areas such as transport, health and safety, events, and feedback mechanisms.
- Develop systems to proactively gather and address parent concerns related to administrative functions, ensuring a collaborative school environment.
- Facilitate parent orientation sessions and administrative briefings as needed.
Administrative Operations
- Streamline and supervise all day-to-day administrative processes including front office, transport, inventory, and housekeeping.
- Maintain accurate documentation and records to support smooth execution of school events, academic activities, and examinations.
- Oversee procurement activities and ensure logistics support is provided efficiently across departments.
Transport & Security
- Supervise the school transport system and ensure strict adherence to student safety protocols.
- Work closely with security personnel to maintain a secure and welcoming school environment.
- Liaise with parents on transport-related concerns, schedules, and route safety, ensuring responsive and proactive communication.
Facilities & Infrastructure Management
- Oversee the maintenance, cleanliness, and functionality of all school facilities including buildings, classrooms, playgrounds, and common areas.
- Ensure timely repairs, safety, and upkeep of infrastructure, equipment, and utilities.
- Manage annual maintenance contracts (AMCs), vendor relationships, and service-level agreements to maintain operational efficiency.
Regulatory Compliance
- Ensure the school complies with all applicable regulations including fire safety, health and hygiene standards, and school board/government norms.
- Maintain up-to-date documentation required for audits, inspections, and certifications.
Budgeting & Procurement
- Assist in the preparation of the annual administrative budget, ensuring alignment with strategic goals.
- Monitor expenditures and ensure optimal utilization of resources through cost-effective procurement practices.
Event & Activity Coordination
- Provide infrastructural and logistical support for all school functions including Parent-Teacher Meetings (PTMs), cultural events, workshops, and extracurricular activities.
- Collaborate with parent volunteers and committees to ensure smooth execution of events and enhance community involvement.
Technology & Systems Support
- Oversee the effective use and maintenance of the school ERP and administrative IT systems.
- Support staff and parents in navigating digital platforms related to attendance, communication, transport, and fee management.
Candidate Profile:
· Graduate/Postgraduate in Business Administration, Facility Management, or a related field.
· 5 to 8 years of proven experience in school administration, facility and transport management.
· Strong leadership, problem-solving, and interpersonal communication skills.
· Knowledge of regulatory and statutory frameworks applicable to educational institutions.
· Experience in managing parent communication and involvement is highly desirable.
