As a Contract control coordinator, you will be a crucial link between the field teams, head office, and various departments to ensure smooth operations, timely project execution and managing logistics processes efficiently. Your role will involve backlogs reviews, managing material scheduling, coordinating shipments, optimizing costs, driving timely project closures, and ensuring the efficient clearance of imported shipments. Additionally, you will handle insurance claims processing, AMTs management, handle financial processes and collaborate with supervisors to achieve monthly targets. Your efforts will help minimize delays, prevent penalties, and ensure compliance with regulations, contributing to the overall success of construction operations and enhancing cost efficiency.

Daily Work Responsibilities:

- Backlog Management and Construction Closure Management:

- Review and follow up on manufacturing backlogs with field teams.
- Optimize material scheduling, focus on reducing partial shipments and shipment lead times to prevent project delays
- Construction backlog reviews and coordinate with supervisors to ensure timely initiation and completion of installations after materials arrive on-site, helping them in case of any hindrance and ensuring timely completion.
- Processing construction closure in system with all approvals, compliance and documents.
- Coordinate with Head Office for invoice requirements and support supervisors in processing CNC, BG etc.
- Financial Management:

- Oversee the timely submission of time tickets to ensure accurate salary payments.
- Handle incentives processing for NE and MOD employees.
- Implement projects to optimize costs like centralized handling of support requirements.
- Reporting and Analysis:

- Publish monthly reports on various parameters for project review.
- Timely Clearance of Imported Shipments:

- Manage the clearance process for imported shipments, ensuring compliance with all regulations.
- Aim to achieve zero demurrage charges by proactively handling transportation and unloading logistics.
- AMTs Processing and Follow-Up:

- Oversee the management of AMTs, coordinating with the source factory for urgent shipments.
- Collaborate with the engineering team to address defective and incorrect materials, coordinate timely returns to factory avoid contract charges.
- Payment and Invoice Processing:

- Ensure the timely processing of subcontractor and vendor bills, coordinating with field team and Head Office for approvals.
- Conduct regular reviews to prevent invoice payment delays and facilitate smooth financial operations.
- Processing Insurance Claims:

- Efficiently manage the processing of insurance claims related to construction and logistics.
- Ensure timely submission and follow-up on claims to minimize financial impact.
- Target Achievement:

- Collaborate with supervisors to achieve monthly closure targets, focusing on both physical and financial aspects.
- Follow up on H note exceptions to reduce outstanding payments.
- Qualifications Required:

- Graduate/Diploma/B.E.
- 4-5 years experience in project coordination, construction management, logistics or related activities.
- Strong organizational skills.
- Excellent communication and interpersonal skills to effectively coordinate with various stakeholders.
- Proficient in Microsoft Office Suite
- Detail-oriented with a strong emphasis on compliance and cost optimization.
- Analytical skills to manage insurance claims and generate reports.
