Role Summary
We are looking for a meticulous and process-driven File Room Specialist to manage the lifecycle of employee records across both physical storage (via an external vendor) and the digital file room leveraging the ServiceNow EDM (Enterprise Document Management) module .
This role is critical to ensuring our organization meets compliance, security, and accessibility standards for HR documentation. The ideal candidate will have experience in document governance, vendor coordination, and digital records systems preferably within a global or regulated environment.
Key Responsibilities
Physical File Room Management (Vendor Oversight)
- Serve as the primary point of contact for the third-party vendor managing off-site physical records storage.
- Coordinate record retrievals, returns, and new archival requests in compliance with company policies and legal requirements.
- Ensure physical records are accurately indexed, securely stored, and destroyed in line with defined retention schedules.
- Conduct regular audits and reconciliations of inventory records with vendor reports.
- Monitor SLAs, escalate service issues, and participate in vendor performance reviews.
Digital File Room Management (ServiceNow EDM)
- Manage the day-to-day operations of digital records using the ServiceNow EDM module .
- Classify, tag, and index documents according to metadata standards and retention rules.
- Maintain digital folder structures and access controls to ensure data security and role-based permissions.
- Support the uploading, quality control, and archiving of employee files, contracts, and sensitive HR documents.
- Collaborate with HR and IT teams to implement enhancements, resolve issues, and train users on document management processes.
Compliance & Governance
- Ensure that both physical and digital file room operations meet local data protection laws (e. g. , GDPR), labor laws, and internal audit requirements.
- Assist with document holds, legal requests, and internal/external audits as needed.
- Maintain and regularly update document retention policies and procedures in collaboration with Legal and Compliance teams.
Process Improvement & Documentation
- Identify opportunities for automation, digitization, and efficiency improvements in document lifecycle management.
- Maintain up-to-date process documentation, work instructions, and training materials.
- Support change management efforts during EDM upgrades or vendor transitions.
Qualifications & Skills
Required:
- Associates or Bachelors degree in Records Management, Library Sciences, Information Systems, HR, or a related field.
- 3-5 years of experience in records management or HR operations with exposure to both physical and digital systems.
- Working knowledge of ServiceNow EDM or similar document/content management systems.
- Experience managing vendors and understanding physical recordkeeping protocols.
- Strong organizational skills with high attention to detail and data integrity.
- Understanding of document security, confidentiality, and legal compliance requirements.
- Proficiency in Microsoft Office and document indexing or scanning tools.
Preferred:
- ServiceNow EDM certification or equivalent training.
- Experience in a global or regulated industry (e. g. , financial services, healthcare, pharma).
- Familiarity with data privacy regulations like GDPR, HIPAA, or SOX.
- Knowledge of Lean or Six Sigma methodologies related to process improvement.

Position Requirements
- Expert knowledge of wellbeing issues relating to relating to university students, including evidence based and trauma informed clinical practice, equity and inclusion, psychosocial safety, psychosocial practice models and systemic work practices.
- Detailed understanding of frameworks and strategies for health promotion, prevention and wellbeing which are related to University issues and respond to drivers affecting student performance, engagement and retention.
- Postgraduate qualifications or equivalent in relevant area (psychology, or an area relevant to mental health), registration or eligibility for registration with an appropriate professional association and extensive relevant experience.
- Blue Card and current Registration with AHPRA or AASW.

**Roles & Responsibilities:**
Program Design & Implementation:
+ Develop and execute a comprehensive employee wellbeing strategy covering physical, mental, emotional, and financial wellness.
+ Design and launch targeted programs and initiatives based on employee feedback, health trends, and organizational priorities.
+ Partner with benefits, HR, and leadership teams to integrate wellbeing into company culture and policies.
Stakeholder & Vendor Management:
+ Collaborate with internal teams (e.g., HRBPs, DEI, Facilities) and external partners (e.g., EAP providers, wellness vendors) to deliver holistic wellbeing services.
+ Manage relationships with wellness partners, negotiate contracts, and monitor service quality.
Education & Engagement:
+ Lead company-wide wellness campaigns, events, and awareness initiatives (e.g., Mental Health Month, fitness challenges, workshops).
+ Promote utilization of wellbeing resources through engaging communications and events.
+ Provide training and tools to leaders and teams to support wellbeing in daily work.
Measurement & Continuous Improvement:

**Basic Qualifications and Experience:**
+ 9+ Years of total experience on Human Resources.
+ 5+ years of experience managing corporate wellness or wellbeing programs.
+ Strong knowledge of health promotion, workplace wellness trends, and behavior change strategies.
+ Knowledge of current wellbeing trends and evidence-based practices.

To support the mental, emotional, and occupational wellbeing of content moderation teams by coordinating wellness programs, counselor sessions, reporting, and compliance activities in a high-stress, sensitive work environment.
Key Responsibilities:
Employee Engagement & Support
• Conduct regular floor walks to gather feedback from Operations and identify wellbeing needs.
• Coordinate Wellness Check-Ins, Counselor-led Group and 1:1 Coaching Sessions
Scheduling & Coordination
• Prepare and share counselor rosters ensuring required coverage.
• Coordinate group workshop schedules and manage ad-hoc session requests.
• Liaise with FLMs and Market SPOCs for session nominations and scheduling.
Reporting & Analytics
• Prepare reports for Weekly Business Reviews (WBRs) and Monthly Business Reviews (MBRs) including session metrics, diversity usage, and psychological health indicators.
• Maintain internal trackers and audit artifacts.
Communication & Awareness
• Draft and distribute: - Psychoeducational mailers - Monthly Calendars - Quarterly Wellness Newsletters
• Conduct Wellbeing Orientation for new hires.
Compliance & Audit
• Ensure adherence to audit and compliance requirements in collaboration with the global and risk teams.
Counselor Management
• Support onboarding/offboarding counselors.
• Counselor supervision, rating and feedback.
• Monitor shift adherence and timesheet accuracy.
Required Skills & Qualifications:
• Master’s degree in psychology or related field.
• Strong organizational, communication, and interpersonal skills.
• High emotional intelligence and ability to handle sensitive information.
• Proficiency in Excel, PowerPoint, and internal reporting tools.
Preferred Experience:
• Minimum 5 years in a wellbeing, or support role in a Trust & Safety or content moderation environment.
• Familiarity with trauma-informed care, crisis response, or mental health support.
