Responsibilities:
- Manage and coordinate complex calendars for senior executives, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Screen and prioritize incoming communications, including emails and phone calls, directing them to the appropriate personnel.
- Organize and manage executive travel logistics, including flights, accommodation, and ground transportation, ensuring adherence to budget and policy.
- Maintain confidential files and records with a high degree of accuracy and security.
- Coordinate logistics for executive meetings, including room bookings, catering, and preparation of meeting materials.
- Serve as a liaison between executives and internal/external stakeholders, fostering positive relationships.
- Conduct research and gather information for various projects and reports.
- Assist with expense reporting and budget tracking for the executive office.
- Proactively identify and resolve administrative issues before they escalate.
- Provide general administrative support, such as document management, filing, and data entry.
- Contribute to the continuous improvement of administrative processes and procedures.
- Handle sensitive information with the utmost confidentiality and integrity.
- Ensure executive office supplies are adequately stocked and organized.
- Provide backup support to other administrative staff as required.
Qualifications:
- Proven experience as an Administrative Assistant, Executive Assistant, or in a similar role, preferably supporting senior management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
- Excellent organizational and time-management skills, with the ability to multitask effectively.
- Strong written and verbal communication skills.
- Discretion and a high level of professionalism in handling confidential information.
- Ability to work independently with minimal supervision, as well as collaboratively within a team.
- Experience with calendar management and travel coordination for senior executives.
- High school diploma or equivalent; Associate's or Bachelor's degree preferred.
- Familiarity with the business landscape in Thiruvananthapuram, Kerala, IN is a plus.
