We are currently seeking an experienced professional to join our team in the role** **Executive Assistant**
**Principal Responsibilities**
- Standard, advanced and sometimes confidential secretarial and general office duties.
- Monitoring manager’s mailbox/calendar stakeholders’ absence and deal with issues that can be easily and quickly resolved.
- Screen and handle the daily calls and inquiries of the stakeholder/team leads (where appropriate), responding independently to routine issues and questions.
- Ability to provide support and leverage wider admin support team and group systems (i.e. HR Direct, Fusion).
- Appointment calendar, meetings and travel arrangements as well as event planning when needed. Ensure corporate guidelines, policies and procedures are adhered to regarding travel bookings.
- Provide guidance/support to wider teams as capacity permits.
- Delegation: Ensure all approvals are processed on time: including Fusion, GSR requests, HR hiring
- approvals and travel authorizations.
- Prepare and submit expense claims.
- Monitor and chase pending approvals and documents.
- May have the opportunity to prepare PowerPoint presentations, and maintain excel templates (i.e. opportunity to develop skills if desired).
- Handle confidential matters and material in a discrete manner
Requirements
**Qualifications - External**
- Create an environment within the team which fosters knowledge sharing and open forums
- Effective communication with the team members on organisation change and goals required for the respective roles and responsibilities
- Ensure the team is adequately cross-trained and cover is in place for all key functions/businesses/regions.
- At least 3-5 years’ full-time experience in supporting a Senior Executive
- Must possess the ability to work with senior managers across the Group
- Excellent PC skills with a high proficiency in Outlook, Word and Excel
- High degree of integrity and maturity, and ability to keep confidential information safe
- Excellent attention to detail and strong & crucial ability to multi-task
- High level of competency in communication, both written and oral, and interpersonal skills
- Ability to work effectively in a team as well as with mínimal supervision
- Work well under pressure and have ability to prioritise and multitask
- Confident decision maker and problem solver.
- Excellent planning & organisational skills.
- Fluent in English
