Our client is seeking an organized and energetic Event Coordinator to manage a wide range of events for their organization in Ghaziabad, Uttar Pradesh, IN . This role is crucial in ensuring the seamless execution of all planned events, from corporate gatherings and conferences to social functions and product launches. The ideal candidate will be a meticulous planner with excellent communication and interpersonal skills, capable of handling multiple tasks simultaneously under pressure. You will be responsible for every aspect of event planning, including venue selection, vendor management, budget tracking, and on-site coordination.

Responsibilities:
  • Plan, organize, and execute a variety of events, ensuring they are delivered on time and within budget.
  • Coordinate all logistical aspects of events, including venue sourcing, catering, audiovisual equipment, and transportation.
  • Manage relationships with vendors, suppliers, and contractors, negotiating contracts and ensuring service quality.
  • Develop event budgets and track expenses meticulously.
  • Create event timelines and ensure all deadlines are met.
  • Develop and implement marketing and promotional strategies for events.
  • Oversee event registration and attendee management.
  • Provide on-site support during events, managing staff, volunteers, and troubleshooting any issues that arise.
  • Conduct post-event evaluations and report on success metrics.
  • Ensure compliance with all relevant health, safety, and legal requirements.
  • Maintain an up-to-date database of event suppliers and contacts.
  • Collaborate with internal teams to align event objectives with organizational goals.

Qualifications:
  • Bachelor's degree in Hospitality Management, Marketing, Communications, or a related field is preferred.
  • Proven experience in event planning and management.
  • Excellent organizational and time-management skills.
  • Strong negotiation and vendor management abilities.
  • Exceptional communication and interpersonal skills.
  • Ability to work under pressure and handle unexpected challenges.
  • Proficiency in event management software and Microsoft Office Suite.
  • A creative mindset with an eye for detail.
  • Flexibility to work evenings and weekends as required by event schedules.
  • Team player with the ability to lead and motivate others.
