Documentation Management (Pre & Post Shipment):
- Prepare, verify, and process all necessary export documentation, including Commercial Invoices, Packing Lists, Certificates of Origin (COO), Shipping Bills, Bills of Lading (BL), Airway Bills (AWB), and other required declarations.
- Handle import documentation, including Bill of Entry, Purchase Orders, commercial invoices, packing lists, and other supporting documents for customs clearance.
- Ensure all documentation is accurate, complete, and compliant with Indian Customs regulations, Foreign Trade Policy (FTP), and destination country requirements.
- Manage and maintain systematic records of all import/export transactions and related documents.
Customs Clearance & Compliance:
- Liaise extensively with Customs House Agents (CHAs) / Customs Brokers for timely and smooth customs clearance of both import and export consignments.
- Ensure proper classification of goods using Harmonized System (HS) codes.
- Stay updated with the latest Foreign Trade Policy (FTP) , customs regulations, import duties, export benefits (e.g., MEIS/RoDTEP/RoSCTL, Duty Drawback), and other relevant government notifications.
- Resolve any issues or discrepancies that arise during customs examination or clearance processes.
Logistics & Shipment Coordination:
- Coordinate with freight forwarders, shipping lines, airlines, and transporters for booking shipments, negotiating freight rates, and optimizing shipping routes.
- Track and monitor international shipments from origin to destination, providing regular updates to internal teams and clients.
- Manage and resolve any logistical challenges, delays, or unexpected issues that may occur during transit.
- Ensure timely delivery of goods to customers or receipt of imported materials.
Vendor & Stakeholder Management:
- Build and maintain strong working relationships with CHAs, freight forwarders, shipping lines, and other service providers.
- Liaise with banks for foreign exchange transactions, Letter of Credit (LC) processing, and other export/import finance-related matters.
- Communicate effectively with suppliers, customers, and internal departments (e.g., Sales, Production, Finance) regarding shipment status, documentation requirements, and delivery schedules.
Cost Management & Optimization:
- Monitor and control freight costs, customs duties, and other logistics-related expenses.
- Identify opportunities for cost savings and efficiency improvements in the EXIM process.
- Prepare cost sheets and analyze landed costs for imported goods.
Reporting & Analysis:
- Prepare and analyze reports on import/export activities, including shipment volumes, costs, lead times, and compliance metrics.
- Provide insights and recommendations for improving EXIM operations and reducing risks.
