Your New Role **:**
The Lead, Software Asset Management will play a critical role in the **Asset and Operations** team, focusing on the governance, optimization, and lifecycle management of software assets across the enterprise. This position will be based in **Hyderabad** and will report directly to the **Senior Manager, Enterprise Asset Operations Management** .
As a key contributor to enterprise asset operations, this role will be responsible for managing the end-to-end lifecycle of software assets using the **ServiceNow Software Asset Management (SAM)** module. The Lead, Software Asset Manager will ensure compliance with licensing agreements, optimize software usage, and support audit readiness. This role requires deep expertise in software licensing models, ServiceNow SAM configuration, and cross-functional collaboration with procurement, finance, and IT operations teams.
Your Role Accountabilities:
**Software Asset Lifecycle Management**
+ Manage the full lifecycle of software assets, from procurement and deployment to usage tracking and retirement.
+ Maintain accurate records of software entitlements, installations, and usage across the organization.
+ Ensure timely updates to software asset records and alignment with procurement and deployment activities.
**ServiceNow SAM Administration**
+ Configure and maintain the **ServiceNow Software Asset Management** module to support enterprise software governance.
+ Automate software normalization, reconciliation, and compliance workflows.
+ Integrate SAM with procurement systems, CMDB, and discovery tools to ensure data accuracy and consistency.
**License Compliance & Optimization**

**Stakeholder Collaboration**

+ Act as a subject matter expert on software licensing models and SAM capabilities.
+ Provide training and guidance to stakeholders on software asset lifecycle processes and ServiceNow SAM usage.
**Reporting & Continuous Improvement**
+ Develop and maintain dashboards and reports on license utilization , compliance status, and cost savings.
+ Identify opportunities for process improvement and automation to enhance software asset visibility and governance.
+ Stay current with ServiceNow platform updates and software asset management trends.
Qualifications & Experiences:
+ 6+ years of experience in IT Asset Management, with a focus on software asset lifecycle and license compliance.
+ Proven experience with **ServiceNow Software Asset Management (SAM Pro)** , including configuration and workflow automation.
+ Strong understanding of software licensing models (e.g., per user, per device, subscription, perpetual).
+ Experience with software audits, vendor negotiations, and compliance reporting.
+ Excellent analytical, organizational, and communication skills.
+ Bachelor's degree in Information Technology , Business Administration, or a related field.
Not Required but preferred experience:
+ ServiceNow certifications (e.g., **Certified Implementation Specialist - SAM** , **Certified System Administrator** ).
+ ITIL Foundation or higher-level certifications.
+ Experience managing software assets in a global enterprise environment.

We are seeking a diligent and experienced Software Asset Management (SAM) / IT Asset Management (ITAM) Specialist to manage and optimize our software and IT asset lifecycle. The ideal candidate will be responsible for tracking, monitoring, and managing software licenses and IT assets to ensure compliance, reduce costs, and improve operational efficiency. This role requires a strong understanding of SAM best practices, license models, and IT asset lifecycle management.

Roles and Responsibilities:

• Manage the full lifecycle of software assets , from procurement to retirement, including tracking purchases, deployments, usage, and disposal.
• Ensure software license compliance by regularly reconciling deployed software with purchased licenses and identifying any discrepancies.
• Conduct software license reviews and audits , both internal and in response to vendor requests, to minimize compliance risks and penalties.
• Identify opportunities for cost savings through license optimization, rationalization, and reclaiming unused software.
• Maintain an accurate and up-to-date Software Asset Register and IT Asset Database.
• Develop and implement SAM/ITAM policies, processes, and procedures to enhance efficiency and effectiveness.
• Collaborate with procurement, IT operations, legal, and finance teams to ensure integrated and consistent asset management practices.
• Utilize SAM/ITAM tools (e.g., Flexera, ServiceNow, Snow Software, etc.) for automated discovery, inventory, and reconciliation.

• Support contract negotiations with software vendors by providing accurate license consumption data and forecasts.
• Participate in hardware asset management activities as they intersect with software dependencies.
• Stay informed about changes in software licensing models and industry trends.

Required Skills and Qualifications:

• Proven experience in Software Asset Management (SAM) and/or IT Asset Management (ITAM) .
• Strong understanding of various software licensing models (e.g., per user, per processor, core-based, subscription, SaaS).
• Familiarity with major software vendors' licensing terms (e.g., Microsoft, Oracle, IBM, Adobe).
• Experience with SAM/ITAM tools for discovery and inventory management.
• Knowledge of IT infrastructure components (servers, networks, databases, cloud services).
• Excellent analytical skills with the ability to interpret complex data and license agreements.

What You Will Do :

We are currently seeking an experienced Asset Management Analyst.  In this role, you will be responsible for assisting with the day to day administration of our global software portfolio. This position requires someone who has experience in the operational concepts/procedures of IT Software Lifecycle Management. This includes request management, license harvesting as well as partnering with the IT End Point Team for deployments. This also includes keeping the software licensing/subscription data evergreen in the system of record.

This role will also act in a back up capacity to the IT hardware asset team in Trivandrum, assisting in onboarding, offboarding and equipment inventory reconciliation.

These duties will be performed in a highly professional manner, utilizing great verbal and written communication skills

Essential Job Functions

• Oversee the End User request process for installing approved software packages onto company endpoint devices
• Assist IT Software Asset Lead to correctly reflect the complete lifecycle of all IT software contracts/licenses/subscriptions in the system of record
• Assist in the lifecycle management of software contracts, licenses and subscriptions through quoting, PO processing and invoice reconciliation
• Assist in monitoring the Software Standardization process of vetting new software titles requested for use by company employees
• Uphold and promote the value of Software asset management policies, processes and procedures within the organization to ensure compliance and reduce risk.
• Assist in analysis of software usage data for billing and license reclamation purposes

Additional Responsibilities

• Provide support for any software request related incidents in Service Now tool and resolving within SLA

• Escalate more complex problems or unresolved issues to next level within team
• Utilize the existing management-tracking tool ServiceNow for all related incident tracking, service tickets, and change requests.
• Answer questions and provide training on software licensing questions
• Accept, inventory, and work with Asset Management to arrange for shipment of any Guidehouse equipment turned into the office (back up capacity)
• Work with asset management to troubleshoot hardware laptop issues (fan cleaning, missing power packs, etc.) (back up capacity)
• Address client questions using available information resources
• Comply with Corporate IT Service Management and Asset Management policies, procedures and directives
• Recommend process changes as needed to improve service levels
• Communicate company policies and standards to end users

What You Will Need :

• Minimum 2-5 years’ experience with Service Now (Incident, Request, Asset  Modules)
• Strong written and verbal communication skills, including the ability to adjust to the audience's technical level and explain complex ideas clearly and concisely and the ability to communicate clearly and professionally with end users, executives, and IT management.
• Must be able to work independently and self-directed, and within a team to maintain IT Asset Management coverage and support model
• Experience with Microsoft operating systems and Microsoft Office including Microsoft Teams, Word and Excel
• Strong problem-solving, planning and organizational skills
• Must be proactive, punctual and be able to multitask efficiently
• Bachelor’s Degree in Business, Finance or IT related field
• 3+ Years Experience with  Software Asset Management
• Basic understanding of IT Infrastructure in a Corporate Environment
