- Hands-on experience with workforce management (WFM) tools such as Aspect, Alvaria, JEX, NICE, Verint, or Calabrio.
- Proficiency in data analysis and reporting, including strong skills in Excel (pivot tables, formulas) or similar tools.
- Solid understanding of contact center operations and performance metrics (e.g., Service Level, Occupancy, ASA).
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
- Strong communication, negotiation, and conflict resolution abilities.
- Preferred: experience in scenario modeling, understanding staffing cost implications, and planning across multiple channels.

We are seeking a highly motivated Scheduling coordinator join our busy Chemotherapy Day Unit. This is a rewarding opportunity to support patients and staff in a professional, compassionate environment.
About the Role:
As our Scheduling coordinator, your primary responsibility will be to effectively manage and coordinate patient bookings for our Day Therapy Unit (DTU). You will play a crucial role in ensuring the smooth operation of our clinic, maintaining exceptional patient experiences, and supporting the nursing and clinical team. You will manage all triage enquiries whilst also efficiently managing booking, registration, and billing processes. You will be liaising daily with clinical staff, and provide friendly, professional support to patients and their families.
Key Responsibilities:
- Triage booking enquiries and patient requests, efficiently managing booking, registration, and billing processes.
- Provide clerical support and assist with reception duties within the DTU.
- Collaborate closely with DTU nursing team and various departmental teams, including outpatient clinics, finance, health information services, and patient services.
- Communicate with patients in person, over the phone, or via email to assess and process treatment booking requests.
- Work within KPI’s to ensure highest level of patient flow, management of nursing workloads and decreased wait times for patients.
- Grow and develop in depth knowledge of treatment regimes and an understanding of the systems to support your role.
- Prepare accurate financial estimates and quotations for patients, including Medicare and health fund checks.
- Ensure clear and informative communication of treatment plans and costs to patients.
- Work both independently and collaboratively within the DTU team to manage workload efficiently.

The Role
We are seeking a Scheduling Coordinator required to support the operational planning of our Sydney and Melbourne teams. Based in our Smithfield office , in this role you will be the central point of coordination for our field teams, ensuring efficient scheduling, resource allocation and project readiness.

Key Responsibilities:
- Coordinate the daily schedules of Sydney and Melbourne Technicians using our in-house coordination software.
- Support key internal stakeholders by managing mobilisation planning for both personnel and equipment.
- Support managers where applicable with client and site related actions particularly around team onboarding before projects.
- Monitor and manage maintenance and compliance for our fleet vehicles.
- Help ensure all necessary project equipment is serviceable and available.
- Maintain regular communication with staff, especially during peak periods, to ensure scheduling is run efficiency.
- Engage with other branches to ensure required resources to meet power project/outage workloads.
- Assist with scheduling of radioactive isotopes and ensure relevant safety and licensing protocols are upheld.
The successful applicant will ideally have:
- Previous experience in a Scheduling or Coordination role (must have).
- Strong written and verbal communication skills.

- Valid Driver’s License (must have).
