ABOUT THE ROLE
The Onsite Auction Manager role oversees auctions taking place on our customers’ sites nationally, as well as overseeing the team of Onsite Auction Coordinators operating from these sites.
We’ve got up to 20 onsite auctions of varied sizes running nationally at any given time – your job, in conjunction with the Head of Industrial Operations, will be to manage the flow and timelines of these sales, ensuring everything goes as close to plan as possible whilst managing internal and external stakeholder expectations.
You’ll be part of the pipeline discussions regarding potential upcoming onsite sales with the Sales, Advisory and Operations teams and will take part in the planning process. Once a job is live, you’ll be one of the first on site to scope the role for the relevant team, start some planning and get the ball rolling. There will be travel involved around Australia – usually around once per week, within NSW as well as traveling to QLD, VIC, SA and sometimes also WA.
The main responsibilities will include:
- Managing onsite auctions from start to finish – from allocation of the job and initially checking out the site to the final sold asset leaving the site and everything in between!
- This often involves allocating employees and resources, coordinating travel, inspecting and valuing assets, coordinating with the client and relevant Sales Executive/s, keeping an eye on planning and timelines and much more.
- Manaing the team of Onsite Auction Coordinators: resourcing, responding to queries, training/development, performance reviews, recruitment and leave management
- Managing expectations, resources and undertaking planning with the relevant Sales teams internally, in conjunction with the Head of Industrial Operations
- Working with the team towards auction deadlines to ensure assets are ready for sale and in the correct location
- Ensuring thorough catalogue checks are undertaken by the team to ensure assets are correctly advertised (when required)
- Overseeing the completion of our pre-auction lotting process to ensure the right flow of sale
- Overseeing coordination of rectifications, keys and all panel work as required
- Developing and maintaining vendor relationships through regular communication with key contacts regarding reserves and valuations of assets, releases, referrals and marketing options
- Oversee completion of pre-sale site preparations to ensure sale premises comply with WHS requirements
- Review stock reports and ensure assets are placed for sale in a timely manner while meeting vendor requirements
- Coordinate assistance with asset inspections for the Pickles Valuations team and their clients
- Providing exceptional customer service throughout the entire auction process
ABOUT YOU
To be successful in this role, you will need to have the following skills and experience:
- Strong knowledge of Industrial assets with sales or operational background
- Experience managing or supervising a nationally based team
- Hands on approach to operations and training, applying practical knowledge and enthusiasm to manage assets effectively and engage confidently with customers and stakeholders
- Organisation & time management skills with a proven ability to prioritise tasks, meet deadlines and manage multiple stakeholders
- Excellent interpersonal and communication skills, someone who demonstrates clear and professional verbal and written communication, ensuring consistency and clarity across all interactions with a diverse range of stakeholders, including vendors, buyers, tow truck drivers, internal sales teams, and operational staff
- Comfortable and experienced in operating trucks and machinery as required
- Willingness to work in challenging conditions e.g. yards, outdoors, heat, rain etc
- System & process knowledge: High level understanding of relevant Pickles Group procedures, the Pickles Auction System (PAS), auction processes, and associated legal/compliance requirements
- Licences & certifications: Holds a valid Australian driver’s licence (essential) and current forklift licence (essential)

A. Minimum 15 years of work experience in Real estate projects, site realted renovation projects, lab infrastructure projects, Site administration & facilities, HSE, Security.

Manage Facility management company and provide end to end guidance to support local business sites including FM leadership in terms of managing local supplier relationships specific to the local business sites. Must be expert in soft skills including management of site security, physical security, housekeeping, offce boys etc for smooth functioning of complete Thales facility.
F. Experience in managing the multi tenanted building and dealing with landlord + maintenance teams
G. Expertise in security systems including CCTV and access systems, housekeeping and office maintenance including zeal to drive innovation, transformation, change and efficiency strategically within organization.
H. Understanding of Building infrastructure & back up source to provide non-stop service to the site in regards of Electrical, Water, power redundancy, Building Genset failures, electrical panel failures, Earthing, Air Conditioning etc.
I. Day to Day Office Facilities and Maintenance, Vendor Management & rate contracts.
J. Expertise in handling critical infrastructure like critical labs, SFC (frequency convertors) isolation transformers, various powers frequencies, UPS, VRF, VRV, PAC Fire System, WLD, Humidity control and HEPA filters given technical work site etc.and all associated AMC contracts.
K. Make sure to take care of security of office employees at site, manage accidents, issues and complaints, and handle medical emergencies for the office through continuous improvements.
L. Take initiatives including use of technology to improve site efficiencies, managing KPIs and continuous improvement in administration operations.
M. Propose & Implement cost saving measures at site.
N. Stakeholder Management
