About the role
Responsible for Payroll operations for UK, Tesco Bank, ROI and One Stop colleagues.
You will be responsible for
- Developing and leading a high performing team, creating an environment for success by setting direction and coaching them to succeed through inspiring conversations every day. (Refer to the expectations of a manager at Tesco- the minimum standards)
- Initiates and designs continuous improvements initiatives to drive performance within their teams
- Accountable for achieving teams objectives, stakeholder management and escalation management.
- Making decisions within policy and procedure framework to deliver business plans.
- Mentoring, career development conversations and performance management
- Initiates and crafts continuous improvements initiatives to drive performance within their teams
- Accountable for achieving teams objectives, partner management and issue management
- Making decisions within policy and procedure framework to deliver business plans
- Deliver acceptable scores on WMTY and GPTW surveys and maintain right level of motivation while ensuring optimum resource utilization
- Deliver operations excellence every time, on time with best of accuracy, efficiency by following key critical metrics and SLA for Payroll (17 diverse processes/12 different teams) which is in accordance to respective legislation and agreements
- Deliver additional projects through efficiency and continuous improvements
- Build a controlled environment that minimal business risk and exposure
You will need
Experience in a transactional service based environment preferred.
Background of working in a UK Payroll environment is desirable though it's not a must.
Stakeholder management experience (mandatory).
Experience in set up of a new process or transition (desirable).
Should have a min of 2 years of experience as a Manager of Payroll Admin (mandatory).
Should have a min of 4 years of experience as People Management (mandatory), managing a team of > 8 colleagues

Process HR Shared Service (HRSS) transactions in accordance with defined Service Level Agreements guided by appropriate financial & human resources policies and procedures for assigned area. Provide client support on HRSS transactions within the HR systems, payroll, taxation or functional area designated. Ensure that all data entered and maintained in HR, payroll or benefits systems is to the highest integrity through regular audit and feedback coaching to end-users. Contribute to the continuous improvement of processes to maximize efficiencies and eliminate redundancies. Track and report defined Service Level Agreement requirements and metrics.
**Key Accountabilities**
Accounting
+ Ensure that General Ledger files are received, interpreted and loaded to the IHG finance system within the agreed timelines.
+ Ensure that accurate financial and headcount data is correctly uploaded for all payrolls into the Finance systems.
+ Make any journal entries that are required to ensure that costs are accurately reflected.
+ Ensure all accruals within the scope of HRSS are accurately entered into the Finance systems.
+ To handle recharges and invoices from Hotels and service providers.
+ Oversee the processing of Expatriate accounting
+ Complete all payroll reconciliation which includes payroll balances sheet accounts, bank accounts and payroll register to General Ledger
+ Ensure all 3rd party payments are processed accurately and on time, with the appropriate level of reconciliation.
Payroll
+ Oversee the delivery of payroll services to all corporate, reservations and hotels employees through outsourced vendors, covered within the regional scope of services.
+ Support the provision of payroll services through the processing of time and attendance data to the outsource vendor.
+ Administer the processing of variable components of pay i.e. paid time off, bonuses, deductions etc. through a defined process agreed with outsource vendor.
+ Ensure that all changes to employee records with direct impact on payroll, general ledger are completed, updated in systems and communicated to respective outsource vendor timely. For example, cost centre changes, pay rate changes etc.
+ Oversee the payment of all payroll taxes to be timely and accurate for each of the countries supported by the payroll service.
+ Complete the forecasting and transfer of funds to the payroll vendor or banks for each payrolls supported as per the agree payroll calendar
+ Handle any payroll queries from employees, managers or escalated by the outsource vendor.
+ To ensure that new employee payroll and banking details are collected accurately and entered in the appropriate system and those new employees are informed about their payroll and payment processes.
+ Facilitate the production of Annual Pay statements as per local country requirements, ensuring these are processed and distributed timely. Includes the reporting of additional taxable earnings i.e. Fringe benefits Taxes, Host Country updates, Stock distributions etc.
+ Oversee local tax filing, statistics, labor reporting and/or payments as per government compliance in the respective country covered in the regional scope of services.
+ To work with PWC on taxes for expatriates ensuring that they are accurate at the end of an assignment and that the tax affairs are settled with the Host Country's tax authority
Human Resources
+ To receive all paper work from HR Business Partners, check for accuracy and completeness, and input to HR and payroll systems accurately. Transactions include new hires, rehires, promotions, transfers, salary changes and terminations etc.
+ Facilitate data input, maintenance, correction and audit processing to ensure data integrity within the system and process methodology.
+ Update HR & payroll records for International Employees, Corporate employee, General Managers and all other personnel as covered by respective regional scope of services.
+ Provides advanced knowledge of policy, business processes, HR guidelines, benefit plans, payroll rules information to HR staff & employees
Benefits
+ To provide a back up for the enrollment of employees into various benefits which vary by country, job band and maintain accurate records.
+ Implement changes to benefits impacted by changes in the employee's life cycle, promotions, transfers, pay changes etc.
+ To administer insurance (life, medical, death & disability) cover for all employees covered by the regional scope of services.
+ Complete the appropriate invoicing or cross charging for all benefits administered.
+ Respond to employee, managers, finance, cash management and HR on questions relating to employee benefits or appeals.
Systems / Reporting

Miscellaneous
+ Provide support to the HR Shared Service team by acting as a back-up to other roles and answering employee queries on all services supported by HRSS.
+ Maintain a consistent, high quality customer-focused orientation. Listens to and communicate with customer / call center to obtain all required information necessary to determine and address their specific needs; tactfully explain why, if service cannot be provided. Respond to individuals in manner and timeframe promised or follow-up to explain status. Effectively communicate findings and recommendations to appropriate staff.
+ Provide clear, accurate information; explain procedures or materials or provide supplemental information; anticipate problems or questions.
+ Ensure that external service level agreements are met by monitoring all reports and service incidents and alerting both the vendor and the team Director.
+ Proactively monitor customer satisfaction and quality of service offered in line with the agreed Service Level Agreement. Contribute to the continuous improvement of all areas in process scope.
**Key Skills & Experiences**
Education -
High school diploma or Associates Degree or an equivalent combination of education and work related experience.
Experience -
2 or 3 years in Human Resources or Payroll environment. Must have exposure and Knowledge in Payroll and Finance
Required Skills -
+ Payroll systems and processes
+ Knowledge of accounting principles including general ledgers and journal entry.
+ PeopleSoft Finance experience is preferable.

Position: HR Service Center Member – Payroll Specialist
Primary Responsibilities
Be part of HR Shared Services Team for Global organization. The tasks handled will be as follows:
Responsible for end-to-end payroll activities for 2 entities (Tech Center and Plant).
Preparing the monthly payroll input, Validating the Draft, register, reconciliation and uploading the bank file in Bank portal for disbursement of salary.
Supporting the audits such as SOX, ICFR, other internal and external audits which is related to payroll.
Supporting the Grievances of employees which is related to salary & tax.
Coordinating with finance and compliance vendor for timely statutory payments (PF, Tax, NPS, Gratuity etc.)
Responsible for attendance system for payroll processing, also should handle the employees’ queries related to leaves & attendance.
Support in preparing the monthly MIS reports.
Responsible for preparing the midterm salary and promotion workings and letters.
Responsible for transactional data entry into the HR System of record, job requisition creation, and acting as back-up for India HR Operational activities.
Should support for payroll integration project with HRSS tool.
This is just a beginning of our journey, and more responsibilities and tools will be brought into HR Shared Services Team as we grow the team.
Desired Competencies/Experience
Experience in an HR Shared Services department in a global organization with excellent English communication skills.
Should have handled payroll end to end activities
Experience in HR systems such as UltiPro HR / PeopleSoft HR / Success factor / Workday / SAP HR is mandatory.
Experience in using the Service Now platform will add a value and is desirable.

The APAC Payroll Services Head will be accountable for effectively and efficiently managing all operational and managerial aspects of People, Processes and Partners related to Payroll Operations. This role should ensure people growth, development, and accountability. Ensure robust governance and control over the e2e payroll operations. Work closely with all stakeholders of Global Payroll Services and build strong and collaborative relationship to enable progress for People, Processes and Partners.
**Responsibilities:**
+ The management oversight and delivery of all services and support provided by the Payroll Organization within the cluster(s).
+ The recruitment and development of high performing team members, including creating talent development opportunities for high potential staff and ensuring robust operational coverage and actionable succession plans for all critical positions.
+ The cluster leadership of all change initiatives impacting the cluster, including new supplier implementations.
+ Developing and maintaining strong relationships with all key stakeholders, promoting timely and open communication and productive partnerships to address common challenges.
+ The Cluster Head works in partnership with the Process Owner for each process stream to ensure compliance with all standard operating procedures and timely and accurate transaction processing.
+ Creates and manages the documentation of internal procedures and business requirements.
+ Interacts with customers on production and project support. Plans and executes complex projects and coordinate over a broader departmental spectrum.
+ Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency, as well as effectively supervise the activity of others and create accountability with those who fail to maintain these standards.
**Process Management, Validation and Control**
+ Ensure Payroll operations throughout the region are executed in compliance with standard operating procedures and consistently meet the committed service standards (completeness, timeliness, accuracy).
+ Manage the Payroll "footprint" (location of resources) in the region, maximizing the concentration of resources in Citi Service Centers.
+ Partner with functional GPOs and GPLs (Payroll, Compensation, Benefits, Mobility, etc.) to ensure that Standard Operating Procedures are documented, understood and consistently followed in the region, and that any requested exceptions to those standards are subject to formal review and approval.
+ Ensure all established operational controls and reasonability checks are performed on a timely basis, and that the results of the testing are evidenced.
+ Ensure that all Operational Breakages (service and/or financial) are documented and subject to timely reporting and to source/cause analysis, and that the necessary remediation actions are completed and tested on a timely basis.
+ Ensure Payroll delivery complies with all country legal and fiscal requirements and that all regulatory requirements are consistently met.
+ Ensure all Payroll processes are demonstrably "audit ready" at all times and assume management responsibility for the successful outcome of all internal and external audits within the region insofar as they relate to the payroll activity set.
+ Ensure regular, documented vendor reviews are performed and that appropriate measures are taken to remediate poor vendor performance. Track ongoing vendor performance to ensure full remediation has occurred.
**Management and Supervision**
+ Provide Leadership and Management direction for the Payroll Organization within the region.
+ Management and delivery against all cluster goals, including performance metrics, productivity commitments and financial plans.
+ Partner with the global Payroll GPO on payroll vendor selection. Lead the cluster implementation of vendor changes, ensuring that projects are delivered on time and in compliance with all Citi TPM and Operational Readiness requirements.
+ Identify opportunities for and drive improvement in control processes, delivery practices and systems.
+ Share identified best practices and implement practices that have been pioneered in other cluster and/or functions.
+ Provide leadership to ensure the timely cluster implementation of global initiatives.
+ Drive talent development for the cluster Payroll organization, including the development of actionable succession plans for all critical positions.
+ Actively support employee engagement activities for the region to promote timely two-way communication and a strong sense of ownership and common purpose across the team.
+ Represent the Payroll organization in meetings with Citi's cluster leadership team and with senior visitors to the region.
+ Represent and advocate for the needs of the region in Payroll leadership forums.
**Qualifications:**
+ 10+ years of experience in a related role
+ Requires basic commercial awareness.
+ Ability to provide evaluative judgment based on analysis.
**Education:**
+ Bachelor's/University degree, Master's degree preferred.
**Skills and qualifications**
+ Experience in an Payroll and/ or HR Services environment is beneficial.
+ Demonstrated leadership experience in the operation and standardization of multi-country payroll environments, including expatriates, benefits and payroll accounting and general accounting.
+ Experience in Change and Project Management
