Job Summary
The Program Specialist (Recruitment Specialist) is responsible for building and maintaining relationships with Hiring Managers and managing the full lifecycle of the requisition process including requisition intake (briefing), shortlisting, sourcing management through empanelled suppliers (agencies), onboarding, worker assignment management, time and expense management, offboarding and reporting. The Program Specialist, acts as a talent advisor to support our clients through the requisition fulfillment process to ensure quality talent is acquired in a timely manner. The focus will be on contingent candidates (contractors)

Responsibilities:
+ Assist client managers during all stages of the contract labor acquisition process including requisition intake, sourcing, and candidate shortlisting and interviewing
+ Demonstrate recruitment expertise by preparing insightful questions appropriate for the position prior to conducting requirement intake session with hiring managers in order to gather detailed job descriptions to distribute to the supply base (recruitment agencies)
+ Document requirement intake conversations in an appropriate database (VMS: Beeline or Fieldglass)
+ Utilize reports to manage open requirements to advise managers on status of requirements and monitor supplier sourcing strategies to ensure timely response
+ Discuss with HM agree upon expectations, timeframes, feedback, roles and responsibilities of everyone involved in the requisition fulfillment process
+ Coach, manage and oversee the performance of participating staffing suppliers
+ Document all client/ supplier reported issues and track resolution through to completion ensuring a high level of customer satisfaction in the CRM system
+ Monito performance against contract SLA's, requisition aging, invoicing, time and expense entry, and vendor compliance tracking
+ Maintain and update monthly activity and performance reports
+ Provide constant interaction via face to face, email, and phone with a client, staffing vendors, contract personnel, and other partners
+ Assist with worker assignment management (cost center changes, an extension of contract assignments, etc.) to improve data integrity
+ Liaison with managers, vendors, and security department to ensure all necessary paperwork is completed and collected prior to starting assignments and at end of assignments
+ Ensure all work orders are closed in the system with accurate finish reasons when notified of an end of the assignment and appropriate departments are notified (i.e. security)
+ Assist with the collection of company assets from vendors (laptop, badges, etc.)
+ Assist and monitor time and expense entry to ensure appropriate approvals occur by hiring managers by required deadlines
+ Constant interaction with vendors to ensure new hire paperwork is completed in a timely manner to avoid onboarding delays
+ Log all client and vendor inquiries into appropriate tool.
Qualifications
Education, Qualifications, and Skills
+ University degree preferred or applicable experience
+ Experience in high volume coordination activities with at least 3-5 years of experience in the recruitment industry.
+ Client hiring manager/supplier facing - hence Excellent verbal and written communications
+ Ability to work in a dynamic environment that changes from day to day
+ Strong analytical and problem solving, documentation and follow up skills showing orientation towards results
+ Strong time management
+ Strong organization skills and attention to detail
+ Knowledge of MS Office (Excel, Word, PPT) and PC skills
+ VMS (Beeline or Fieldglass) experience is highly regarded
+ Able to work independently with some direction and Customer Focused

  • As a Program Specialist, you'll be the go-to contact for internal teams, external MSP/direct client providers, and contingent employees, playing a vital role in ensuring a smooth and positive experience across the entire contingent workforce lifecycle.

    Monitor the variance and need to take corrective action to ensure that Project Schedule is meet and Project does not fall in LD. Monitor and Control the financial status of the project (EAC, Billings, cost budgets, milestone payments, rebates, warranty). Ensure the compliance for Gating policy, SEA for EAC and Change Order bookings. Submission of project progress report in prescribed format on monthly basis to customer and to internal stake holders including sales. Updates in CORA for financial forecasting
    **Review responsibilities**
    -Accurately report the status (resources, technical issues, customer satisfaction) of assigned projects on all key metrics. Provide all the details for the Monthly project reviews , L3 / L4 Project reviews , Gating reviews , arranging KOM with factory and sourcing for third party items.
    **Cross-functional delivery support**
    -Managing the interest of all stakeholders (customer, Honeywell, suppliers, etc) in the project. -Work closely with factory and CIC , Factory sourcing and third party sourcing team for timely delivery of the project.
    '- Work with Life Cycle Solutions and Services organization to ensure that projects are properly closed out.

    + At least 7-10 years of experience in engineering and execution of Industrial Automation-based DCS, ESD, and F&G Projects, including EPC engagements and direct customer-facing technical roles.
    + Up to 30% domestic travel is required based on project needs.
    + PMI Certification or Post-Graduation in Business Management is an advantage.

    JOB POSTING
    You will use project management skills to oversee and manage customer relations and Building Automations Projects execution. You will primarily be based out at our GAIL Pata, UP project, responsible for managing day to day Customer co-ordination, site execution, Project Financials and supporting all aspects of the business relationship between Honeywell and the customer. You will achieve project target completion meeting customer timelines and satisfaction, required cost and schedule adherence, scope management. Key program performance metrics include Project Execution, successful commissioning and handing over to the satisfaction of client and within project cost budget, Estimate at Completion fidelity, Cost Performance Index, Schedule Performance Index, On Time to Request, Accounts Receivable, and Honeywell Milestone and Reporting Tool Milestone Fidelity. You will develop and maintain strong relationships with key customers, stakeholders, and influencers.
    Key Responsibilities
    Day to day co-ordination with customer, vendors and suppliers for the assigned projects.
    Ensure Project execution is being progressed with the satisfaction of client.
    Ensure adherence to contract, schedule, cost, regulatory agency and international trade compliance requirements.
    Extensive risk/opportunity analysis with cross-functional teams to achieve revenue and net investment/operating income targets.
    Identify opportunities and execute plans to improve program performance.
    Coordination and integration with Product/Service management teams.
    Manage customer relationships.
    Identify and support new business and opportunities
    Involvement in process of drawing out the project baseline schedule in close co-ordination with Engineering & Procurement Team.
    Responsible for continuous monitoring of project progress vis-à-vis plan & identify the causes of cost/time overruns, if any.
    Detailed planning, Scheduling, Monitoring & controlling of projects.
    Develop, maintain/ update, and implement a Project Quality Plan (PQP), MS Project schedule, and Project Execution Plan (PEP)
    Responsible for preparation of detailed activity and resource scheduling with identification of critical path on projects.
    Hold accountability to deliver assigned Projects with the appropriate level of quality, on time delivery, on budgeted cost, and consistent with the contractual scope, standards & Specifications.
    Project Initiation & Base-Lining
    Financial forecasting w.r.t Revenue, Billing & Collection
    Monthly Project review with stakeholders
    Project Resource & Cost Management Plan's implementation along with regular tracking

    JOB ACTIVITIES
    YOU MUST HAVE
    Bachelor or higher degree in Engineering or related field. Relevant business experience, including but not limited to Project Management, Program Management, Business Management, Engineering, Sales, Operations, Finance, Contracts, and Customer Support.
