The logistics coordinator ensures our supply chains run smoothly. We’re looking for a candidate with an eye for detail, a keen analytical mind, and the ability to handle a system with numerous moving parts. This often-high-pressure position will require candidates to perform at the apex of their abilities. Our goals are to make our processes as efficient as possible, maintain good relationships with suppliers, distributors, and vendors.
Responsibilities:
- Obtain quotes and arrange pick up or release on all orders considered to be “minor equipment”. (i.e. LTL, FTL, containers, air freight, courier, export packaging, etc.)
- Coordinate the transportation and forwarding services of over-dimensional, heavy lift project cargo experience including, but not limited to, break-bulk ocean, rail, heavy haul, multi-modal containers, trucking, barge, and air as required from origin to destination.
- Monitor and co-ordinate with various freight forwarders, third party agencies, ports, customs, subcontractors, handling agencies etc. to accelerate shipments and clearances.
- Create Bid tabs/ Requisitions for Transportation Cost as required by BPI / BU Procedures.
- Submit RFQ Negotiating with customs / Excise authorities for obtaining approvals/clearances with respect to export or import operations. Monitor and complete required documentation for inbound and outbound cargo.
- Review drawings/packaging and verify shipping limitations that have been met between engineering and DOT (Department of Transportation) regulations and/or carrier capabilities.
- Attend BU Logistics team meetings; and act on behalf of Logistics Manager, whenever requested. Attend Risk Register, Scheduling, and Project Meetings.
- Supervise/coordinate Loadings and Off-loadings.
- Attend Site planning meetings with carriers and customers.
- Manage freight budget and report to the Project Team the cost forecasts and progress to schedule of all assigned project deliverables.
- Formulate effective strategic plans to enhance logistics operations applying best practices for minimizing wastages and inventory costs for meeting the budgetary structure.
- Determine the most economical mode of transportation within a given set of restrictions.
- Obtain, audit, and communicate preliminary/final shipping details to the relevant parties.
- Closely track and problem-solve schedule related issues (internally & externally).
- Assist when asked with technical issues related to obtaining Import/Export documentation.
- Liaise with customs brokers for updated reporting procedures and valuations.
- Expedite vendors to confirm RTS date and packing list details.
- Expedite all orders with vendors and confirm all orders have been shipped complete.
- Review and approve freight invoices.
- Support Sales in determining freight cost, schedule, trade obligations, and risks from various origins points to the destination.
- Create shipping documents incorporating the Harmonized System Nomenclature (HSN) code and complete all essential paperwork required for the Merchant exporter, including filings related to DGFT, SEZ, and GST.
- Coordinate with Customs House Agents (CHA) to generate shipping bills, maintain E-Seals, verify Bill of Lading/Airway Bill, obtain certificates of origin, and track materials in accordance with purchase orders.
Qualifications & Requirements:
The preferred candidate will possess the following:
- Any bachelor’s degree in engineering or equivalent degree from an accredited college is preferred.
- Experience in logistics, operations or project management is preferred.
- 2 to 5 years of transportation/procurement experience is preferred.
- Demonstrated excellent written, verbal, and interpersonal communication skills.
- Demonstrated excellent analytical and computer skills required.
- Requires advanced problem-solving abilities.
- Must possess excellent time management skills.
