Job Summary:

We are seeking a dedicated and detail-oriented Soft Services Executive to manage and

supervise daily soft services operations. This role includes oversight of housekeeping,

pantry, waste management, pest control, and general hygiene, ensuring a clean and

welcoming environment for tenants and visitors.

Key Responsibilities:

Supervise and monitor daily housekeeping, pantry, and cleaning operations.

Ensure cleanliness and hygiene standards are consistently maintained across all

common areas.

Coordinate with vendors and housekeeping staff to address service quality and

performance.

Oversee waste disposal, pest control schedules, and hygiene compliance activities.

Handle client/tenant service requests related to soft services and resolve them

promptly.

Conduct routine inspections and audits to identify gaps and implement corrective

actions.

Maintain inventory and stock records of cleaning materials and pantry supplies.

Prepare daily/weekly reports on soft services performance and issues.

Requirements:

Bachelor’s degree or diploma in Hotel Management, Facility Management, or related

field.

2–4 years of experience in soft services operations in commercial or hospitality

environments.

Good communication and interpersonal skills.

Knowledge of housekeeping SOPs, safety protocols, and hygiene standards.

Ability to manage vendors, supervise staff, and ensure service delivery excellence.

Preferred Qualifications:

Experience in managing services in Grade-A commercial properties or business parks.

Familiarity with CAFM/Facility Management tools and checklists.

Ensure the upkeep of the assignment/task as per set SOP.

Conduct regular briefing for ground staff.
Ensure discipline, proper attire and etiquette in subordinate staff.

Ensure closure of complaints about services and equipment and take corrective action.
Maintain required records of work hours, budgets, and other information.
Regular/ frequent rounds to be taken to inspect and evaluate the physical condition of facilities to determine the type of work required.
Check and maintain equipment to ensure that it is in working order.
Brief and de-brief all supervisory staff.
Monitor all cleaning activity, ensure it is done as per set SOP, in order to maintain premises in best possible way and to enhance the lifespan of equipment.
Conduct training on regular basis for work policies and procedures.
Maintain inventory of consumable stock to ensure that supplies and other equipment are available in adequate amount.
Select and order or purchase new equipment, supplies, or furnishings.
Prepare reports Like DMR, MMR, QBR and other related reports at site
Recommend changes that could improve services and increase operational efficiency.
Perform financial tasks, such as estimating costs and preparing/managing budgets
Plan & arrange for change in beautification of certain areas every quarterly and for festivals & events.

What this job involves:

Providing onsite support

You will be the upper facilities management’s trusted right hand on all facilities-related activities like maintenance of high quality of Housekeeping standards, Pest control, Landscaping, vendor activities, Events Management, managing daily deployment of vendor staffs, attend and closure of user complaints, records for repair & periodic maintenance of cleaning equipment, store management, monitor par stock of chemicals & consumables, training vendor staffs on process & procedures, coordination with vendor on waste management. You’ll do this by performing routine site inspections to ensure all building processes and best practices are implemented and maintained. Assist in controlling the expenses & provide cost effective solutions. Must be able to work in multiple shifts & timings. Provide with all sorts of Daily/Weekly/Monthly reports and ensuring timely submission of vendor invoices.

Maintain appropriate levels of Petty cash to support FM operations.
Vendor invoices processing aligned with Client’s finance process.
Statutory compliance check of all vendor invoices.
Routinely Inspect all services to ensure performance measures are being maintained
Effectively manage ECRES to ensure an on time deliverable system
Set stretch targets for self to achieve maximum team performance
Reporting
Contribute to the Weekly FM Meeting Minutes
Contribute to the Monthly Management Report to client and other reports as required
Others
Participate in Emergency Evacuation procedures including crisis management and business continuity.
Manage all Health and Safety issues and actively participate in Health and Safety reviews
Experience
Graduate in any discipline
3 - 5 years’ experience in facilities management
Tertiary qualifications in hotel management / building management and/or business desirable
Proven ability to function effectively as part of a team
Proven ability to initiate and follow through with improvement initiatives

Compliance with the Service Level Agreement established between Jones Lang LaSalle and Client
Achievement of contracted Customer Satisfaction expectations
Achievement of savings initiatives as agreed with Client.
Delivery of Agreed Initiatives as per Client/Jones Lang LaSalle Initiatives Road Map
Achievement of service delivery goals as agreed with manager
