As a Logistics Assistant, you will be responsible for.
Proactive Disruption Management:
- Actively monitor ocean shipments, identifying potential disruptions before they escalate.
- Use various tools to identify issues and take immediate action to communicate delays or disruptions to stakeholders.
- Work directly with marine carriers, drayage providers, freight forwarders, ports and customers to resolve delays.
Effective Communication:
- Serve as the primary point of contact for in-transit shipments with marine carriers, Customer Service Representatives (CSR), and Demand Resource Planners
- (DRP) to communicate issues and implement corrective measures.
- Ensure timely updates on shipment delays and disruptions are communicated to all stakeholders.
Data-Driven Action:
- Regularly analyze shipment data to identify trends and potential disruption risks, developing proactive strategies to prevent delays.
- Utilize tools including SAP, PowerBI, Excel, Visibility Vendors, etc. to extract and compare shipment data, ensuring real-time decision-making.
Continuous Improvement:
- Proactively suggest process improvements related to data accuracy, carrier compliance, and system enhancements to minimize disruptions.
Reporting and Analysis:
- Extract, summarize, and report findings on marine shipment data as needed, providing insights that support logistics operations and decision-making.
- Track and trace business-specific requests, ensuring that all initiatives are aligned with improving shipment outcomes.
What you already have.
- Bachelor's Degree in Commerce, Science, Supply Chain, or Operations.
- 1-2 Years of Experience in Logistics or Supply Chain Operations.
- Experience with SAP, Real Time Visibility Vendor, PowerBI, Excel, Salesforce, etc

**B. Data Entry**:
i. Enter and maintain accurate data related to logistics operations in electronic systems or databases.

iii. Verify and reconcile data discrepancies or errors to maintain data integrity.
iv. Generate reports and provide data analysis as required by the logistics team.
v. Assist in maintaining and updating documentation, including contracts, licenses, and permits.
vi. Support in monitoring and reporting key performance indicators (KPIs) related to logistics operations.
vii. Collaborate with cross-functional teams to gather and input relevant data for various projects or initiatives.
**C. Cashier Duties**:
i. Greet customers and provide prompt and friendly service at the cashier counter.
ii. Receive cash, checks, and credit card payments from customers for services
rendered.
iii. Accurately process transactions, ensuring that payments are applied to the correct
customer accounts.
iv. Issue receipts, refunds, or change to customers and maintain a balanced cash
register.
v. Reconcile cash register at the end of each shift and prepare accurate reports of daily
transactions.
vi. Follow established cash handling procedures to ensure the security of funds.
vii. Collaborate with the finance team to provide accurate financial data and support as
needed.
viii. Handle customer inquiries, resolve complaints, and provide exceptional customer
service.
**D. Petty Cash Management**:
i. Maintain and manage the petty cash fund, ensuring adequate availability for daily
office expenses.
ii. Receive and review petty cash requests, verifying the validity and accuracy of
supporting documents.
iii. Disburse petty cash according to approved requests and obtain appropriate receipts
or documentation.
iv. Reconcile and replenish the petty cash fund on a regular basis, ensuring accurate
record-keeping.
v. Prepare petty cash reports and maintain proper documentation for auditing purposes.
vi. Collaborate with the finance team to ensure compliance with company policies and
procedures.
vii. Handle petty cash-related inquiries and provide guidance to employees regarding
reimbursement procedures.
**E. Administrative Support**:
i. Assist in maintaining accurate records of financial transactions and customer
accounts.
ii. Prepare and process invoices, billing statements, and payment reminders.
iii. Ensure proper documentation and filing of financial records and reports.
iv. Collaborate with other departments to gather and verify financial information for
reporting purposes.
v. Assist in inventory management by conducting periodic stock checks and providing
input on reordering.
**Required Qualifications**:
**A. Education and Experience**:
i. High school diploma or equivalent.
ii. Prior experience in logistics or data entry roles is preferred.
iii. Prior experience in cashiering or finance-related roles is preferred.
iv. Experience in handling petty cash will be an advantage.
