Position Summary:
We are seeking a highly experienced and dynamic Executive Assistant to provide dedicated support to the Head of our English-Speaking Markets (ESM) cluster, which includes the US, UK, India, and South Africa. This role is critical to ensuring seamless operations and communication across these diverse and strategic regions.
The ideal candidate will be a strategic partner, adept at managing complexity and thriving in a multinational, fast-paced environment. With over 7 years of experience as an EA in an MNC, you will possess impeccable English skills and the flexibility to coordinate across multiple time zones, acting as a force multiplier for the ESM leadership.
Key Responsibilities:
- Executive & Administrative Support:
- Provide comprehensive, sophisticated calendar management for the ESM Head, balancing priorities across the US, UK, India, and South Africa time zones. Comfortable working US hours and attending occasional weekend calls.
- Act as a gatekeeper and strategic partner, managing communications and ensuring the executive's focus remains on high-priority initiatives.
- Coordinate complex international travel arrangements, including multi-city itineraries, visas, and accommodations.
- Prepare and proofread high-quality correspondence, presentations, reports, and communications on behalf of the ESM Head.
Cross-Regional Coordination & Communication:
- Serve as the primary liaison between the ESM Head and country leads, senior management, clients, and global teams.
- Facilitate clear, timely, and professional communication across the entire ESM cluster, ensuring cultural and operational nuances are respected.
- Organize and coordinate regional leadership meetings, virtual town halls, and client reviews, handling logistics, agendas, and minutes.
Meeting & Event Management:
- Schedule and manage critical virtual and in-person meetings, ensuring all participants across different regions are aligned.
- Prepare pre-meeting briefs, agendas, and necessary documentation to ensure the ESM Head is well-prepared.
- Track action items and follow up with stakeholders to ensure accountability and progress.
- Project & Ad-hoc Support:
- Provide dedicated support for regional projects, including tracking deliverables, and preparing status updates.
- Handle confidential business information, strategy, and personnel with absolute discretion.
- Demonstrate flexibility to provide ad-hoc support during weekends for urgent, business-critical matters.
Mandatory Qualifications & Experience:
- A minimum of 7 years of experience as an Executive Assistant, with a proven track record in a multinational corporation (MNC) .
- Demonstrated flexibility to work a schedule that overlaps reasonably with US, UK, and India business hours (e.g., a shifted schedule in India to cover late afternoons in the US or early mornings in the UK).
- Impeccable and sophisticated command of the English language – both written and verbal. This is non-negotiable for effective communication across the ESM cluster.
- Direct experience supporting C-level or senior regional leadership (e.g., VP, Head of Region, Managing Director).
- High proficiency in Microsoft Office Suite (especially Outlook, PowerPoint, Word) and collaboration tools like Google Meet, Microsoft Teams, Zoom, and SharePoint.
Preferred Qualifications:
- Prior experience in a global, matrixed organization, preferably within the BPO, IT, or consulting sectors.
- Exposure to or understanding of the business cultures in the US, UK, India, and/or South Africa.
- A proactive, self-starter attitude with the ability to anticipate needs and operate independently in a high-pressure environment.

About the Role
We’re hiring a Senior Executive Assistant to partner with the founder of an affluent U.S.-based organisation, as she supports early-stage founders, leads workshops and university collaborations, serves on multiple boards, and advises high-growth startups and venture firms. We're looking for someone who can bring order to complexity, structure to big ideas, and forward momentum to everything from client logistics to marketing and thought leadership. This is not a junior admin role. You’ll act as her trusted execution partner, helping her keep multiple workstreams aligned and moving while freeing her up to focus on the high-leverage work she does with founders, students, and startup teams.
What You'll Do
Operational & Administrative Support
- Manage calendar, inbox, scheduling, and meeting prep with precision
- Handle client workflows, contracts, proposals, and engagement materials
- Support planning and logistics for in-person events and remote workshops
- Organise internal resources and streamline project flows across Trello and Slack
- Coordinate communications with university partners, board members, and collaborators
Financial Admin & Bookkeeping
- Track and reconcile expenses in QuickBooks Online
- Prepare and send client invoices using existing templates
- Maintain light reporting and cash flow visibility
- Support year-end wrap-ups and documentation
Content, Comms & Marketing Support
- Help the founder stay on track with content creation, including newsletters and posts
- Format decks and documents for coaching, teaching, and advisory use
- Assist with outreach to conferences, podcasts, and strategic platforms
- Maintain and organise brand materials using Canva
Research & Business Development Support
- Research new programs, workshop ideas, or strategic partners
- Support pipeline tracking in Trello and flag important follow-ups
- Help turn idea backlogs into actionable steps and simple project plans
- Stay attuned to where the founder's voice, work, and content should show up next

Qualifications
