POSITION OVERVIEW:

Under limited supervision, provide administrative support in the areas of administration, purchasing, and marketing. Process purchases orders accurately and concisely. Follow documented procedures and work instructions to ensure processes are adhered to. Communicate with organizational teams to ensure they have the most up to date information to provide exemplary service for our customers. Coordinate Marketing trade shows domestically and internationally. KNOWLEDGE, SKILLS, ABILITIES, EXPERIENCE & CERTIFICATES

Coordinates and enters purchase orders for the drop shipment of finished good products.

Follows purchasing Standard Operating Procedures (SOPS) to ensure computer data integrity for processed orders, events, etc.

Maintains complete digital records of all Purchase Finish Goods orders, revisions, and other transactions.

Coordinates trade shows and manage domestic shipments to transfer products and material to events.

Collaborates with various vendors and suppliers to facilitate the operational needs of Marketing department.

Manages Marketing Inventory and complete intermittent reconciliation of marketing items and materials.

Communicates clearly to empower others with the most recent information verbally and in writing regarding Hydranautics and Nitto products.

Processes payments from suppliers and internal expense payments. Ensures relevant approvals for payments.

Coordinates travel arrangements for required personnel in the international office.

Oversees daily miscellaneous office duties including processing payments to bank.

Bachelor's degree in business administration or related field and three (3) years' directly related experience in administration, purchasing and/or marketing or an equivalent combination of education and experience.

Knowledge of water industry concepts, a plus.

Working knowledge of general standard business practices incorporating administration, purchasing, and marketing.

Ability to work independently and with a wide variety of staff, departments, languages, and cultures.

Intermediate skills in Microsoft Office suite such as Word, Excel, Outlook, PowerPoint, and enterprise software such as JD Edwards.

Solid understanding of basic, inventory, purchasing, logistics, and customer service concepts.

Demonstrated ability to work with a high degree of organizational accuracy, excellent attention to detail, problem analysis and problem resolution skills.

Basic understanding of math including addition, subtraction, and division capabilities.

Work independently and foster a cooperative team spirit within a large and/or small team environment.

Ability to multi-task with flexibility in responding to rapidly changing, dynamic processes and demands; effectively prioritize based on critical and urgent needs.

Understand and follow standard company operating and safety procedures.

Responsibilities   

  • Service Delivery Alignment : Ensure that service delivery consistently meets business expectations and stakeholder requirements across global franchises and markets, maintaining high standards of quality, responsiveness, and reliability.

  • Process Optimization : Identify and address inefficiencies across the end-to-end service delivery process that lead to rework, delays, or misalignment. Implement corrective actions and process improvements to reduce turnaround times, enhance consistency, and eliminate friction points.

  • External Vendor Management: Oversee vendor performance and governance, ensuring alignment with service expectations and contractual obligations.

  • Cost Management : Oversee budget adherence and cost control, ensuring alignment with demand planning and financial forecasts. Drive adoption and integration of innovative technology solutions, including AI, that support service delivery, automation, and performance tracking.

  • Performance Metrics & Operational Efficiency : Monitor, enable, and evolve performance against KPIs and SLAs in partnership with the Global Data & Analytics team. Ensure metrics are actionable, transparent, and used to drive accountability and continuous improvement across all service lines.

  • Continuous Improvement : Lead initiatives focused on enhancing service quality, scalability, and efficiency across people, processes, and technology. Foster a culture of operational excellence and innovation, embedding feedback loops and agile ways of working.

  • Issue Escalation & Resolution : Manage and track issue escalation processes, ensuring timely resolution, root cause analysis, and communication with relevant stakeholders. Establish preventive measures to reduce recurrence and improve service resilience.

  • Governance & Stakeholder Alignment : Contribute to the governance of The Hive operating model, ensuring alignment with strategic priorities, compliance with standards, and effective coordination across global and local teams.

  • Market Onboarding & Transition Support : In partnership with the service standup team support the transition and onboarding of new markets into The Hive’s existing services and operating model. Ensure readiness, alignment, and smooth integration through structured planning, stakeholder engagement, and operational support.

  • Service Expansion Execution : In partnership with the new services development lead, support the expansion of The Hive’s service portfolio by standing up and optimizing the operational infrastructure (eg metrics, KPIs, monitoring). Ensure replicability, scalability, and alignment with business objectives and market needs.

  • Customer Centric Operations: Partner to systematically integrate customer feedback, needs, and pain points into operational processes, ensuring that operational decisions and improvements are informed by customer impact and aligned with expectations for usability, responsiveness, and value delivery.

Required Education, Experience and Skills

  • Bachelors or Masters Degree

  • 10+ years of experience in global operations and centralized marketing services, with focus on content creation and campaign execution

  • Strong understanding of operational governance, KPI/SLA frameworks, and continuous improvement methodologies.

  • Exceptional leadership skills, resilience, transformational change with focus on value demonstration

  • Advanced analytical skills with a proven ability to interpret complex data, derive actionable insights, and solve operational challenges with precision and strategic foresight

  • Proficient in influencing and convening stakeholder groups, distilling actionable next steps, and fostering a culture of continuous improvement

  • Excellent communication and stakeholder engagement skills, with the ability to influence at all levels.

Our client is a forward-thinking organization that is seeking a highly organized and proactive Senior Business Operations Manager to lead and optimize our remote operational functions. Key responsibilities include:
  • Developing, implementing, and refining operational strategies to improve overall business performance.
  • Managing cross-functional projects from conception to completion, ensuring timely delivery and within budget.
  • Establishing and monitoring key performance indicators (KPIs) to track operational efficiency and identify areas for improvement.
  • Implementing and maintaining best practices in operational management, including process documentation and standardization.
  • Fostering a collaborative and productive remote work environment through effective communication and team building.
  • Overseeing budgeting and resource allocation for operational initiatives.
  • Identifying operational risks and developing mitigation strategies.
  • Liaising with external vendors and stakeholders to ensure seamless service delivery.

Qualifications:
  • Master's degree in Business Administration, Operations Management, or a related field.
  • 7+ years of experience in operations management, with at least 3 years in a senior leadership role.
  • Demonstrated success in managing remote teams and distributed operations.
  • Expertise in process improvement methodologies (e.g., Lean, Six Sigma).
  • Strong analytical and problem-solving skills, with the ability to make data-driven decisions.
  • Excellent project management skills and experience with project management software.
  • Exceptional communication, negotiation, and interpersonal skills.
  • Proficiency in various business software and collaboration tools.
  • Proven ability to manage budgets and financial resources effectively.
  • Adaptability and a proactive approach to tackling challenges in a fast-paced environment.
