Role Summary:

The Head - Project will oversee the construction, fit out of new showrooms & related works and ensure adherence to launch plan. He would lead the Project's/ Interior's team at Khazana. He would work closely with both senior management and his team of site engineers to ensure on-time execution of expansion plans.

Key responsibilities:

The key responsibilities of Head - Project would include, but are not limited to the following:

• Responsible for coordinating and obtaining GFC for project sites.
• Coordinate with all the internal stakeholders for internal approvals pertaining to design, materials to be used, QS reports on material quantity and related costs.
• Coordinate and ensure timely delivery of projects by vendors in line with the approved parameters of the management.
• Responsible for both civil and interiors related to all offices/branches and showrooms of the company for either renovation or new construction.
• Responsible for timely execution of projects across multiple locations.
• Co-ordinate with Architect to develop store layout & work closely with senior management to finalize the layout
• Plan manpower allocation to all sites for construction.
• Review progress on a routine basis along with the team.
• Adopt best-practices and processes to ensure execution of interior works to perfection
• Assist PMO (Project Management office) to track & update progress of new store launch
• Update the progress of new stores progress to senior management and escalate issues & support required.

Job Description

We are looking for a skilled and detail-oriented Civil Engineering Office Administrator with a background of Civil Engineering to support our team in handling data entry and document preparation tasks.

Role & responsibilities

• Input survey data, project details and measurements in to databases or spread sheets (e.g., MS Excel)
• Maintain accurate records of materials, schedules and resources.
• Preparation of site reports, site documentations and compliance forms.
• Organize files and maintain project documents.
• Coordinate with Engineers, Site Supervisors and Project Managers to collect or share information.
• Attend meetings and note down technical requirements or revisions.
• Ensure that all digital information is accessible and backed up properly.
• Compiling daily site reports from field data.
• Report daily tasks to the Management.
• Ability to work with minimal supervision and meet deadlines.

Preferred candidate profile

• Candidate must be from Tamilnadu only.
• Minimum 6 to 8 years experience.
• Notice Period - 1 Month
• Eligibility - Max experience in 3 company for 8 yrs.
• Proficiency in MS Office (Word, Excel, PowerPoint).
• Excellent typing speed and accuracy.
• Strong communication and interpersonal skills.
• Ability to multitask effectively.
• Good organizational and time management abilities.
• Speak fluently in Tamil language.

Purchase Request Management: Monitor and validate all purchase requests across group companies (Academic Institutions, Hotels, Hospitals, Pharmacies, Railways, Cement, and Construction sectors). Ensure requests align with actual requirements and budget limits.

Approval of Purchases: Validate and approve purchase requests in the ERP system on behalf of the Senior Management, ensuring compliance with organizational standards.

Stakeholder Coordination: Collaborate with Deans, Directors, Executive Directors, CEOs, COOs, and Department Heads to verify purchase requests and ensure they stay within the allocated budget.

Vendor Management: Oversee the vendor selection process for high-value items, ensuring competitive pricing and quality.

Audit & Compliance: Conduct periodic surprise audits at group companies (Hotels, Hospitals, Railways, Colleges) to ensure adherence to standard processes, prepare non-conformance reports, and take corrective actions.

Project and Purchase Approvals: Approve high-value projects, purchases, and branding initiatives as per management requirements.

Purchase Order & GRN Management: Ensure Purchase Orders (POs) are generated for all approved requests and Goods Receipt Notes (GRNs) are raised for invoices.

Meeting Coordination: Organize monthly MIS review meetings for various departments, draft meeting minutes, and follow up to ensure action items are completed.

General Coordination: Assist with scheduling and managing business appointments, and handle any pending purchase requests, ensuring due diligence and closure.

Special Purchases: Approve and coordinate all personal and office-related purchase requests for senior management, including handling bills and coordinating payments.
